Location: South West 

Reports to: PA to Managing Director/Office Manager 

Hours: 37.5 hours per week, Monday to Friday

Reporting to the PA to the Managing Director/Office Manager, you will play a crucial role in optimising the Senior Leadership Team's productivity by providing assistance with various projects and efficiently managing all administrative tasks. Additionally, you will extend administrative support to various departments across the South West business. Success in this role requires a high level of discretion and confidentiality. 


Key responsibilities: 

  • Support Commercial tasks and projects, ensuring efficient handling and processing of documentation and communication. 
  • Assist with Sales extra variation orders and incentives, involving liaising with the Sales team, Quantity Surveyors, and Subcontractors. 
  • Raise, manage and prioritise Customer Care orders, ensuring timely and accurate processing and follow-up, and liaise with the Customer Care team, Quantity Surveyors, and Subcontractors with reference to the orders. 
  • Liaise with the Housing Association, Site teams, and Quantity Surveyors to compile the required handover documents and certificates (both hard copies and electronic) ahead of handover. 
  • Coordinate administrative tasks related to housing association projects and queries. • Provide a comprehensive and high level of administrative support to the business. 
  • To prepare presentations and formatting of documents as and when required. 
  • To assist with correspondence and clerical tasks, such as filing, data entry and document preparation. 
  • To facilitate catering for internal meetings. 
  • Assist with the organisation of company events and functions, including venue booking and logistics coordination. 
  • Ensure compliance with company policies and procedures in all administrative tasks. 
  • To provide any general ad-hoc duties. 


Desirable skills and experience: 

  • To understand and work to the highest level of confidentially, with the ability to use discretion and integrity throughout your approach to work. 
  • Ability to work independently, prioritise work and take initiative. 
  • Adaptable and flexible, able to manage workflow and demonstrate a high degree of self-organisation. 
  • Confident using Microsoft Office, in particular Word, Excel and Outlook. 
  • Strong interpersonal skills.
